Privacy Policy
Effective date: October 2026
This policy explains what personal data RoadsAndTrucks Technologies ("we", "us", "our") collects, why we collect it, who we share it with and the choices you have. It applies to our website at roadsandtrucks.com and to RoadsAndTrucks, our transport management software (the "Service").
1. Who this policy covers
- Site visitors: people who browse our website or send us an enquiry or a demo request.
- Customers: transport businesses ("transporters") that sign up for the Service, and the staff they add as users.
- Consignment contacts: consignors, consignees, drivers and other people whose details a transporter enters while using the Service.
2. Our role
For site visitor data and customer account data, we decide why and how the data is used. Under the Digital Personal Data Protection Act, 2023 ("DPDP Act") we are the Data Fiduciary for that data.
For consignment data that a transporter enters into the Service, the transporter decides why and how the data is used. We process it only on the transporter's behalf and on the transporter's instructions, as its Data Processor. The transporter is responsible for collecting that data lawfully, for giving any notice and taking any consent the law requires, and for answering requests about it.
If you are a consignment contact, please contact the transporter that handled your consignment first. If you write to us instead, we will pass your request to that transporter and help it respond.
3. Information we collect
3.1 From site visitors
- Enquiry details: your name, company name, mobile number, city, number of trucks and any message you send through the demo form, along with a record of the consent you give on the form.
- Communications: the content of emails, calls and WhatsApp chats you start with us.
- Technical data: IP address, browser and device type, pages viewed, and the date and time of each visit, recorded in server logs to keep the site secure and working.
- Cookies: this website does not use advertising or tracking cookies. It loads fonts from Google Fonts, so your browser sends your IP address to Google to fetch them. If we add analytics later, we will update this policy first.
3.2 From customers and their users
- Account details: company name, business address, GSTIN, PAN and other business identifiers, bank details you add to your company profile for your own documents, and the names, mobile numbers, email addresses and roles of your users.
- Sign-in and security data: login code verification records, sign-in times, and device and browser information.
- Business records you create: LRs, trips, vehicles, drivers, branches, document details and expiry dates, and E-way Bill details.
- Billing data: your plan, invoices and payment status. Payments to us are processed by our payment gateway. We do not store full card numbers.
- Support data: what you tell us when you ask for help.
- Usage data: which features are used and what actions are taken, so we can fix problems and improve the Service.
3.3 Consignment data entered by transporters
Names, mobile numbers and addresses of consignors and consignees; names, mobile numbers and licence details of drivers; details of goods, vehicles, trips and deliveries; and the location of a vehicle or consignment where the transporter records or shares it. We hold this data on the transporter's behalf, as described in section 2.
4. How we use information
- To provide, operate and maintain the Service.
- To create accounts and verify who is signing in, including by sending login codes.
- To send account and service alerts.
- To send shipment updates to consignors and consignees on behalf of transporters.
- To respond to enquiries and arrange demos.
- To raise invoices and collect payment.
- To give customer support.
- To keep the Service secure, prevent misuse and fix faults.
- To improve the Service, using aggregated or de-identified information where we can.
- To meet our legal obligations.
We do not sell personal data. We do not use consignment data for advertising.
5. Why we are allowed to use it
- Your consent: for example, when you tick the consent box on our demo form. You can withdraw consent at any time (see section 10). Withdrawal does not affect what was done before you withdrew, and it may mean we can no longer provide a service that depends on that data.
- Legitimate uses the law permits: for example, using data you have voluntarily given us for a specific purpose, or meeting a legal obligation.
6. WhatsApp and SMS communications
We send the following kinds of message by WhatsApp and SMS:
- Login codes: one-time codes sent when someone asks to sign in with your mobile number.
- Account alerts: trial and subscription reminders, document and E-way Bill expiry alerts, and security notices sent to a transporter's users.
- Shipment updates sent on behalf of transporters: messages to the consignor, consignee or other contact a transporter has entered for a consignment, such as booked, dispatched and delivered updates, which may include a tracking link.
Messages are delivered through the WhatsApp Business Platform, which is provided by Meta, and through an SMS provider. We share the recipient's mobile number and the message content with these providers only so that the message can be delivered.
We do not send promotional messages unless you have separately agreed to receive them.
How to opt out: reply STOP to any message, or email [email protected] from, or quoting, the mobile number concerned. If you opt out of login codes, you will not be able to sign in with that number until you opt back in.
If you received a shipment update and do not know why, a transporter using the Service entered your number for a consignment. Reply STOP or write to us, and we will stop further messages to your number and inform the transporter.
7. Who we share information with
- Service providers that work for us under contract and only on our instructions: cloud hosting, the WhatsApp Business Platform, our SMS provider, email delivery, our payment gateway and customer support tools.
- The transporter's own users, who see the transporter's data according to the roles the transporter gives them.
- Anyone holding a tracking link, who can see limited status information about that one consignment.
- Government and legal authorities, when the law requires us to disclose information.
- A successor business, if we merge with, or are acquired by, another company. We will tell you before your data moves.
Some providers may process data outside India. We allow this only where Indian law permits it.
8. How long we keep information
We keep personal data only for as long as it is needed for the purpose it was collected for, or for as long as the law requires.
- Enquiry data: retained as long as necessary to service your inquiry, unless you become a customer.
- Account and business records: for the life of the account and for a reasonable retention period after it is closed, after which they are deleted or anonymised.
- Records the law requires us to keep, such as invoices, tax records and logs of commercial messages: for the period the law sets.
- Backups: overwritten on a rolling cycle.
9. How we protect information
We use reasonable security safeguards, including encrypted connections, role-based access, limited staff access, activity logs and regular backups. No system is completely secure. If a personal data breach happens, we will inform the affected people and the Data Protection Board of India as the law requires.
Please keep your login codes private and tell us at once if you think someone else has used your account.
10. Your rights
Subject to the DPDP Act, you can ask us to:
- give you a summary of the personal data we hold about you and what we do with it;
- correct, complete or update your personal data;
- erase personal data that is no longer needed (see our Data Deletion Request page);
- stop processing that is based on your consent, by withdrawing that consent;
- record a person you nominate to exercise these rights for you in the event of your death or incapacity;
- look into a grievance about how we handle your data.
To use any of these rights, email [email protected]. We may ask you to confirm your identity.
For consignment data entered by a transporter, please contact that transporter (see section 2). If you are not satisfied with our response to a grievance, you may complain to the Data Protection Board of India.
11. Children
The Service is meant for businesses. It is not directed at anyone under 18, and we do not knowingly collect personal data from children. If you believe a child has given us personal data, contact us and we will delete it.
12. Changes to this policy
We will post any change on this page with a new effective date. If a change is significant, we will also tell customers inside the Service or by email before it takes effect.
